What is a realistic maintenance schedule for a fleet vehicle in the UAE?

Use severe-service intervals, whichever of distance or time comes first: engine oil and filter every 5,000 km (cars) to 7,500 km (light diesel vans) or six months; engine air filter every 10,000 km; cabin filter every 15,000 km; AC service every 12 months, ideally in April; tyre rotation and pressure check every 10,000 km or three months and replacement by 45,000 km or three years; battery load test every six months (Gulf batteries last 18–30 months); brakes every 20,000 km; diesel fuel filter every 20,000 km; coolant every 40,000 km or two years; transmission fluid every 60,000 km; belts and hoses every 40,000 km; registration renewal and inspection annually. A delivery van at 3,500 km a month needs about 26 workshop visits a year on this schedule.

Fleet Maintenance — FAQ

Manufacturer schedules list a "normal" and a "severe" interval. Gulf operation is severe by definition: ambient temperatures above 45°C for months, fine dust that loads air filters in weeks, stop-start city delivery, long idling with the AC on and heavy loads. Oil oxidises faster, rubber components crack sooner, batteries last 18–30 months instead of 4–5 years and tyres age out before they wear out. This generator uses severe-service intervals; if your manufacturer publishes a specific severe schedule, follow it.
Every 5,000 km or six months for petrol cars and SUVs; 7,500 km for light diesel vans and pickups; 15,000 km for modern heavy trucks and buses on long-drain synthetic oil — always the shorter of distance or time. Vehicles that idle for hours (delivery, security, cold chain) burn engine hours without adding kilometres, which is why odometer-only reminders miss them: telematics engine-hour counters catch it.
Once a year in April, before the first 45°C day. AC failures peak in June–August, and a van with a broken AC is either parked or driven by someone who idles it for an hour to cool down before every run. The service covers refrigerant charge, condenser cleaning (sand blocks it), cabin filter and compressor belt.
Vehicle registration is renewed annually and requires valid insurance, no outstanding fines and — for vehicles more than three years old in Dubai and for all commercial and heavy vehicles — a passed technical inspection at an RTA or Abu Dhabi Police approved centre. Driving on an expired registration costs AED 500, 4 black points and 7 days impound, and a fleet vehicle that fails inspection for tyres or lights costs a day of downtime plus the re-test. Put the renewal date in the calendar with a 30-day lead.
For a handful of vehicles, yes — download the .ics file into Google or Outlook and you have dated reminders with a seven-day alert. From about ten vehicles the schedule drifts within weeks because real mileage differs per vehicle.
